The room rate is $131/night for single/double, is open through May 30, and will be honored three days pre and post conference, based on availability. No resort fee, and complimentary parking. Shuttle service offered within 5 mile radius. Book early; we’ve sold out in past years.

What Times Should I Set Aside?

Exhibitors should attend the following events. Reps are encourage to attend educational events, too.
    • Mandatory Exhibitor Call: May 15, 2:00–3:00 p.m. ET, or May 21, 2:00–3:00 p.m. ET. Dial: (888) 895-6448, Code: 2718431409.  Companies must have at least one rep attend who will educate other reps from their exhibit.
    • Welcome/Awards Ceremony: June 21, 7:00–9:30 p.m. NEW! Corporate Partners will be recognized in this event.
    • Exhibit Setup: June 21, 3:00–7:00 p.m.
    • Exhibit Hall Open: June 22, 7:00–8:00 a.m., 12:15–1:50 p.m., and 7:30 to 9:00 p.m.
                                      June 23, 7:30–8:30 a.m., and 12:00–2:30 p.m.
    • Raffle Drawing (in exhibit hall): June 23, 1:00 p.m.
    • Silent Auction: June 22, 7:30–9:00 p.m.
    • Exhibit Breakdown: June 23, 2:30–6:00 p.m.

Exhibit Application

The Exhibit Application and related materials should be submitted by May 30, 2019.

 

To complete the exhibit application, you will need your company logo, 50-word description,
and a waiver from your insurer that affirms to hold the Marriott harmless for any losses, insured or uninsured. Click on this link for an example of a waiver.

 

Applications received later than May 15, will be accommodated as possible. Deadline for cancellations with refund is May 15, 2018. We’ve sold out many years—so APPLY EARLY!

 

Rep Registration

In addition to the booth application, each rep must register themselves, so they can sign off on the Industry Guidelines/Code of Conduct and the photo policy. Registering requires signing into their Oley member account (free). If they receive Oley materials (newsletter, emails, etc.), they already have an account. The default user name is their email address. There is an option to reset their password. If they have trouble, they can call the office at (518) 262-5079, or email harrinc@amc.edu.

 

Registration includes admission to educational sessions, social events. CE credit is available for physicians, nurses, pharmacists, and dietitians who complete the necessary requirements.

 

Registrants are responsible for their own hotel and transportation arrangements. Reps should register by June 13. Registration is complimentary for:

• the first two representatives of companies exhibiting at the meeting (use promo code "EXHIBIT" when checking out)

• company reps serving as faculty at the meeting (use promo code "FACULTY" when checking out), and

• company reps who are consumers/caregivers (use promo code "CONFAM" when checking out).

 

Each additional registration costs $250.

Shipping

If you plan to ship anything to the hotel, you will need to fax the completed Marriott’s package shipment form to (847) 634-7025. The hotel will accept shipments only the three days preceding the event. See package shipment form for details on pricing. Shipping label for exhibit materials:

Boxes will be delivered to the exhibitors' tables that have provided their billing information, otherwise packages will be held in storage until requested (on-site) and billing information is provided.

 

Boxes should arrive June 17 or later to avoid a storage charge. There is a limited amount of storage space in the service area to store shipping containers, boxes and pallets.

 

Shipping Out: The Marriott accepts UPS, FedEx and other delivery services. Click on the link for detailed instructions.


AV/Electricity/Furniture

Exhibits come with a 6' draped table and two chairs. No carpet is needed. Contact Stacey Freeman (847) 634-5922 or stacey.freeman@chicagomarriottlincolnshire.com) if you need additional furniture for your exhibit.

 

If you need electricity at your exhibit, or have any additional AV needs, you will need to complete the Marriott’s AVP form.

 

Advertising, Conference Program

The program will be distributed to 400–500 home nutrition support patients, home care providers, and health care professionals attending the conference and countless visitors at www.oley.org.

• Our server does not accept files ≥4MB or .zip files. If you can’t fit within these requirements, call (518) 262-5079 to make special arrangements.

 

• We do not offer “bleeds” and all area within the quoted dimensions is “live.”

Walkathon

Get your logo on the back of official walkathon t-shirt for just $500! Submit your logo as a vector .ai or .eps file, 3” x 5”, 300 dpi, black and white only, by May 30.

Exhibit Raffle—Draw Attention to Your Booth!

1. Supply and display up to three raffle items, raffle tickets (or slips of paper), and a collection bowl at your booth.

2. Collect the names of people in the bowl when they visit your booth. 

3. Towards the end of the second exhibit day, (at around 1:00 p.m. on, June 23) Oley staff will announce the drawing time. Bring your item(s), and bowl with collected names to the podium (along with other participating companies.) 

4. An Oley volunteer will draw the winning ticket from your bowl, and you present the prize to the winner. If you want your bowl of collected names back, you should take it at this time. Then it is the next company's turn. 

5. Additional tips:

  • You may raffle off up to three items if you wish.
  • Popular past raffle items: small electronic devices, designer handbags, jewelry, toys, gift cards.
  • Medical supplies, company products, and related items are not appropriate raffle items.
