What Is the Oley Conference, and Why Should I Be There?

Designed to help consumers (patients) on home tube feeding and IV nutrition learn more about their therapy, the Oley Conference is the ONLY meeting where you can promote your products/services directly to experienced patients (end users) and get their feedback. About 350–500 people attend each year. Formal, interactive sessions are complemented by small group discussions on topics ranging from coping skills to advances in disease treatments. You are encouraged to join us for educational sessions and social events.

The rate for exhibitors, $229/night for single/double, $550/night for a Jr. Suite, or $1500 for a Celebrity Suite, is open through June 1, and will be honored three days pre and post conference, based on availability. (Note: exhibitors are paying a different rate than consumers.) The hotel service fee of $12.95/day is waived for Oley guests. To secure this rate, use the link above or mention you are exhibiting at the Oley meeting when calling. Oley discounted self-parking fee is $10/day. Consumers should indicate their need for a refrigerator in the 'additional request' section of the online hotel reservation form. Book early, we’ve sold out in past years.

What Times Should I Set Aside?

Exhibitors should attend the following events. Reps are encourage to attend educational sessions and social events, too.

    • Mandatory Exhibitor Call: May 15, 2pm–3pm ET, or May 24, 2pm–3pm ET.

At least one representative from each exhibit must attend one of the calls and be responsible for sharing the information with everyone from their company at the conference. Email Roslyn Dahl to indicate which call you will attend.


    • Welcome/Awards Ceremony: June 24, 7:00 to 9:30 p.m.
    • Exhibit Setup: June 25, 8:00 to 11:45 a.m.
    • Corporate Awards Ceremony: June 25, 11:45 a.m.

    • Exhibit Hall Open: June 25 & 26, noon to 2:30 p.m.
    • Raffle Drawing (in exhibit hall): June 26, 2:00 p.m.
    • Silent Auction: June 25, 7:30 to 9:00 p.m.
    • Exhibit Breakdown: June 26, 2:30 to 6:00 p.m.

Exhibit Application

To complete the exhibit application, you will need your company logo, 50-word description,
and a waiver from your insurer that affirms to hold the Peabody harmless for any losses, insured or uninsured. The Peabody rules state that "nothing shall be posted on, nailed, screwed or otherwise attached to columns, walls, floors or other parts of the building or furniture."  Click on this link for an example of a waiver.


The Exhibit Application, company description, logo, payment (and any advertisements) should be received by May 2, 2018 for inclusion in the Conference Program. Applications received later than May 2, will be accommodated as possible. Deadline for cancellations with refund is May 9, 2018. We’ve sold out many years—so APPLY EARLY!


Rep Registration

In addition to the booth application, each rep must register themselves, so they can sign off on the Industry Guidelines/Code of Conduct and the photo policy. Registering requires signing into their Oley member account (free). If they receive Oley materials (newsletter, emails, etc.), they already have an account. The default user name is their email address. There is an option to reset their password. If they have trouble, they can call the office at (518) 262-5079, or email harrinc@amc.edu.


Registration includes admission to educational sessions and social events. Registrants are responsible for their own hotel and transportation arrangements. Reps should register by June 13. Registration is complimentary for:

• the first two representatives of companies exhibiting at the meeting,

• company reps serving as faculty at the meeting, and

• company reps who are consumers/caregivers


Oley will invoice the company for all others at a cost of $200 per each additional rep.

Exhibit Setup

Exhibitors may setup Monday, June 25, from 8:00 a.m. to 11:45 a.m.



Fax your completed Peabody shipping form and credit card authorization form, by June 18, noon CT, to (901) 529-3629. Packages delivered before June 21 will incur storage charges. See shipping form for details on pricing. The Peabody will not assume any responsibility for the damage or loss of merchandise sent for storage.

Exhibits come with a 6' draped table. Complete the Peabody forms for AV and/or electrical needs (including the credit card authorization form).


Advertising, Conference Program

The Oley Foundation’s 33rd Annual Consumer/Clinician Conference program will be distributed to 350–500 home nutrition support patients, home care providers, and health care professionals attending the conference and countless visitors at www.oley.org.

• We do not offer “bleeds” and all area within the quoted dimensions is “live.”

Exhibit Raffle—Draw Attention to Your Booth!

1. Supply and display up to three raffle items, raffle tickets (or slips of paper), and a collection bowl at your booth.

2. Collect the names of people in the bowl when they visit your booth. 

3. Towards the end of the second exhibit day, (at around 2:00 p.m. on, June 26) Oley staff will announce the drawing time. Bring your item(s), and bowl with collected names to the podium (along with other participating companies.) 

4. An Oley volunteer will draw the winning ticket from your bowl, and you present the prize to the winner. If you want your bowl of collected names back, you should take it at this time. Then it is the next company's turn. 

5. Additional tips:

  • You may raffle off up to three items if you wish.
  • Popular past raffle items: small electronic devices, designer handbags, jewelry, toys, gift cards.
  • Medical supplies, company products, and related items are not appropriate raffle items.
